ADMISSIONS PROCEDURE

STUDENT CONDUCT POLICY
1.0 DEFINITIONS
1.1 Capitalized words and phrases used in this Procedure and not otherwise defined here have the meanings assigned to them in the Admissions Policy No. (PL-ST-07).
1.2 The following words and expressions are specific to this document and shall have the meanings hereby assigned to them:
1.2.1 Admission Deferred Student: A Student admitted to the University who has elected to postpone his/her enrollment in the Program for up to one academic year.
1.2.2 No Show Student: A Student who, by the end of the Add/Drop Period of the Semester of their Admission, is not registered in any Course at the University.
1.2.3 University: University of Doha for Science and Technology, established as per Emiri Resolution No. 13 of 2022.
1.3 Where the context requires, words importing the singular shall include the plural and vice-versa.
1.4 Where a word or phrase is given a particular meaning, other parts of speech and grammatical forms of that word or phrase have corresponding meanings.
2.0 PURPOSE
2.1 To support the implementation of the Admissions Policy (PL-ST-07). The following procedures are to be read in conjunction with the aforementioned policy.
3.0 PROCEDURE
3.1 General
3.1.1 Applications are considered for a specific Undergraduate Admission intake term.
3.1.2 Applications are processed provided:
3.1.2.1 The Applicant submits an application within the deadline published on the University’s website and academic catalogue.
3.1.2.2 The Applicant correctly completes the application as per the policy and this procedure;
3.1.2.3 The Applicant provides all required supporting documentation as per section 4.2 of the policy;
3.1.2.4 The Applicant pays all required fees.
3.1.3 Applicants are notified immediately of receipt of their application via email.
3.1.4 Applicant must satisfy Placement Test requirements.
3.1.5 Eligible Applicants are evaluated and placed on a ranked waitlist, in accordance with the procedures outlined under 3.12.
3.1.6 After the end of the Add/Drop Period, Applicants remaining on the waitlist will be encouraged to re-apply for the next intake of the Program.
3.1.7 With the exception of Admission Deferred Students, all non-admitted Applicants, No Show Students, and Discontinued Students must submit a new Admission application and pay the Admission Application Fee.
3.2 Application Requirements
3.2.1 Applicants must submit the required documentation as outlined in section 4.2 of the policy.
3.3 Admission Priority
3.3.1 Admission priority is outlined in section 4.5 of the policy.
3.3.2 Applicants are required to submit supporting documentation to establish their Admission priority.
3.4 Placement Test Requirements
3.4.1 Placement Testing is required for all Applicants seeking Admission to the University.
3.4.2 In lieu of the Placement Test, the University may accept valid test scores from internationally recognized English language proficiency tests.
3.4.3 Applicants, who are transferring from or have graduated from a higher education institution where English is the medium of instruction, can request to have the Placement Test waived. To be eligible for a waiver, the end of the Applicant’s most recent semester of attendance at the English medium institution must be within 2 years of the start of the Applicant’s semester of Admission to the University.
3.4.4 Waivers are granted at the sole discretion of the University. The Applicant can submit the following evidence in support of their request:
3.4.3.1 Catalog description or course syllabus detailing the language of instruction for the program in which the Applicant was enrolled; or
3.4.3.2 A transcript notation indicating the language of instruction for the program or courses in which the Applicant was enrolled; or
3.4.3.3 Communication on the institution’s official website indicating language of instruction for the program in which the Applicant was enrolled; or
3.4.3.4 A letter from that institution’s Registrar indicating the language of instruction for the program or courses in which the Applicant was enrolled.
3.4.5 Eligible Applicants who meet the required placement scores are permitted direct entry into their Program.
3.4.6 Eligible Applicants who do not meet the required English and Math placement scores may be admitted into the Foundation Program, subject to capacity.
3.5 Students Requiring Accessibility Services
3.5.1 Applicants requiring additional educational supports will be individually assessed by the Student Success and Counseling Department to determine admissibility. The assessment will include:
3.5.1.1 Reviewing the Applicant’s supporting medical documentation;
3.5.1.2 Reviewing the recommendation of the sponsoring or supporting group (if applicable);
3.5.1.3 Summarizing the Applicant’s strengths and abilities;
3.5.1.4 Determining the need for support staff required to facilitate the integration of the Applicant;
3.5.1.5 Identifying necessary resources/equipment required to facilitate the training.
3.5.2 The University requires that Applicants disclose their disability at the point of Admission application.
3.6 Admission Application Categories

The University admits Applicants based on the following application categories:

3.6.1 High School Graduates
3.6.1.1 Applicants who have completed high school and have not attended a higher education institution are considered High School Graduates.
3.6.1.2 Applicants must satisfy the Admission Requirements outlined in section 4.7 of the policy and the University Website.
3.6.1.3 Applicants are required to satisfy the University’s Placement Test or waiver requirement as outlined in section 4.4 of the policy.
3.6.1.4 Applicants are eligible for entry into the Foundation Program.
3.6.2 College or University Graduates
3.6.2.1 Applicants who previously earned a College or University credential can apply for Admission to another Program at the University.
3.6.2.2 Applicants must satisfy the Admission Requirements outlined in section 4.7.2 of the policy.
3.6.2.3 The Placement Test is not required for Admission of University graduates within 2 years of their University graduation.
3.6.2.4 Only the English Placement Test, or waiver as specified in section 4.4 of the policy, is required for Applicants seeking Admission beyond 2 years of their University graduation. Applicants who do not meet the required Placement Test scores will be placed into the Foundation Program.
3.6.3 Transfer Students
3.6.3.1 Applicants who have attended another higher education institution will be considered for Transfer Admission. Transfer Applicants must satisfy the Admission Requirements outlined in section 4.7.3 of the policy.
3.6.3.2 Transfer Applicants are required to satisfy the University’s Placement Test or waiver requirement as outlined in section 4.4 of the policy.
3.6.3.3 Transfer Applicants are eligible for entry into the Foundation Program.
3.6.4 Visiting Students
3.6.4.1 Applicants from other higher education institutions may apply to take Courses at the University as a Visiting Student.
3.6.4.2 Applicants must satisfy the Admission Requirements outlined in section 4.7.4 of the policy.
3.6.4.3 Applicants are required to satisfy the University’s Placement Test or waiver requirement as outlined in section 4.4 of the policy.
3.6.4.4 Visiting Applicants are not eligible for entry into the Foundation Program.
3.7 Provisional Admission
3.7.1 Based on available capacity, the University allows Provisional Admission for Undergraduate Applicants, who have successfully graduated high school, but who do not meet the University’s high school percentage Admission Requirements outlined in section 4.7.1.1 of the policy. Applicants must satisfy the Undergraduate Application Requirements outlined in section 4.2 of the policy.
3.7.2 Applicants for Provisional Admission will only be considered if capacity exists after all regular, Eligible Applicants are admitted, to a maximum of 5% of the total Students admitted to that particular Semester.
3.7.3 Applicants receiving Provisional Admission are required to sign a Provisional Admission Agreement.
3.7.4 Applicants receiving Provisional Admission are required to register in select Courses. Courses are chosen by the Academic Advisor based upon the Placement Test scores, the intended Program, and the Program’s Course matrix.
3.7.5 Provisional Admitted Applicants are admitted into Foundation Program - General Studies, which is not affiliated with a Program.
3.7.6 Upon successful completion of the Provisional Admission requirements, Students are required to submit a Program Transfer Application to be considered for Program admission.
3.7.7 An offer of Provisional Admission will be rescinded in the following situations:
3.7.7.1 The Student has exceeded the maximum duration of enrollment in the Provisional Admission Program without completing the requirements of his/her Provisional Admission.
3.7.7.2 The Student has received an Academic Dismissal per the Academic Standing Policy (PL-ST-05).
3.7.8 Students who have had their Provisional Admission revoked are not eligible to re-apply for Provisional Admission.
3.8 Early Conditional Admission
3.8.1 High achieving Undergraduate Applicants, who are enrolled in their final year (12th grade or equivalent) of high school are eligible for Early Conditional Admission consideration.
3.8.2 Applicants must present a copy of their 11th grade and first semester of 12th grade results indicating a minimum overall grade of 70% in both. Applicants in the International Baccalaureate (IB) or British System should submit predicted grades.
3.8.3 Applicants receiving Early Conditional Admission must meet the University’s Admission Requirements in order to satisfy the condition of their Admission.
3.8.4 Applicants receiving Early Conditional Admission must clear all conditions before the first day of classes for the Semester of Admission.
3.8.5 Applicants who do not satisfy the requirements for Early Conditional Admission will be evaluated for regular Admission or Provisional Admission.
3.9 Conditional Admission
3.9.1 The conditions under which Conditional Admission is granted is outlined in section 4.10 of the policy.
3.9.2 Applicants who have completed high school but have not received official final grades and/or equivalency from the Ministry of Education and Higher Education are eligible for Conditional Admission.
3.9.3 Applicants must present a copy of their most recent high school grades to date.
3.9.4 Applicants must maintain their academic averages or Admission scores when all final, official documents are received.
3.9.5 Applicants receiving Conditional Admission must meet the University’s admission requirements in order to satisfy the condition of their Admission.
3.9.6 Applicants receiving Conditional Admission must clear all conditions before the first day of classes for the Semester of Admission. After the first day of classes, the Admissions and Registration Directorate will revoke the offer of Conditional Admission if Applicants fail to satisfy the conditions of their Conditional Admission, or fail to provide required documentation, or fail to satisfy Admission Requirements.
3.9.7 Applicants who do not satisfy the requirements for Conditional Admission may be evaluated for Provisional Admission.
3.10 Admission Deferral
3.10.1 Students admitted to the University can defer their Semester of Admission by up to 1 Academic Year based on Program capacity.
3.10.2 Students must contact the Admissions and Registration Directorate before the end of the Add Period of their Semester of Admission to request deferral.
3.10.3 Approval of the deferral request is based on Program capacity.
3.11 Re-Admission
3.11.1 Discontinued Students must contact the Admissions and Registration Directorate to request Re-admission via email or in person.
3.11.2 Re-admission Applicants may apply to their prior academic Program or to any other academic Program for which they are eligible.
3.11.3 Students who have been Academically Dismissed are not eligible for Re-admission to the same Program. Academically Dismissed Students may apply for Admission to another Program for the subsequent Semester, and their Admissions eligibility is based on the approved Admission Requirements.
3.11.4 Discontinued and Academically Dismissed Students who have not been enrolled for at least two (2) years are required to re-take the English Placement Test.
3.12 Eligibility for Competitive Entry
3.12.1 Eligible Applicants are ranked based on their overall final year (Grade 12 or equivalent) high school percentage / prior College/University GPA / prior higher education institution GPA and by their Admission Priority Category outlined in 4.5 of the policy.
3.12.2 After the Admissions deadline for each Semester, the top ranked Applicants will be admitted on a space available basis and notified of the Admission decision by e-mail.
3.12.3 Applicants on a waitlist will be offered Admission as space becomes available in the Program.
3.12.4 Applicants who remain on the waitlist may choose to carry their Admission application forward to the subsequent Semester. These Applicants will be re-ranked against any new Applicants applying for admission to the subsequent Semester. Waitlisted Applicants can re-test to improve their English and Math Placement Test results.
3.12.5 Eligible Applicants who are undecided can be admitted into General Studies.
